Product Searches Our Member Services team can provide information regarding product availability and pricing on standard items, as well as difficult-to-find products. We have the resources and the contacts to locate thousands of unusual, rare, and hard to find items. We will negotiate prices and delivery terms on your behalf, and even facilitate establishing an account where applicable.

Special Requests and Price Checks If you have a question or concern with a product or supplier, our Member Services teamwill help resolve the issue as soon as possible. Whether it’s a late delivery or an incorrect invoice, we will make sure the problem is solved quickly. Also, if you have any questions regarding the best price offered by any of our suppliers on specific items, call us and we will compare them for you.

Bulk Purchases Members of Buyers Access can use our bulk purchasing program to obtain favorable pricing on large quantity orders. The Buyers Access eCommerce site provides a single solution to source and order items from a range of vendors in the Buyers Access network. No longer do our clients have to access multiple vendor sites, as those vendor catalogues are all available in the eCommerce site. Our clients have the flexibility to establish an order using 4 methods; Browse, Quick & Advanced Search, Order Entry and Recurring Orders (detailed below) and order approval rules can be created upon request to Buyers Access. Browse – The user is provided a list of vendors with various categories under each vendor. Just like reviewing items in a catalog, they can click on an item and review details to select an item that meets their needs. Once they find the item they are looking for, they enter a quantity and add it to their Shopping Cart. Quick & Advanced Search – If a user is looking for a specific item, they can use the Search functions. This allows them to enter criteria such as item number, vendor, etc. to locate the item. Once they submit their Search criteria, items are displayed. They can then review the item details, enter a quantity and add the item to their Shopping Cart. Order Entry – If a user knows the item numbers that they are going to order, they can simply type the item numbers into the Order Entry form to add them to their shopping list. The Order Entry form validates the item number as an item is added. Recurring Orders – If a user orders specific items on a regular basis, they can set up a Recurring Order to quickly order those items. When they are ready to order, they simply go to their Recurring Order and enter the quantities that they would like to order. Review and Submit Orders Once a user has placed items into their Shopping Cart and are ready to check out, they can review their order in the Shopping Cart, and prior to submitting they can update item quantities, remove items or add notes to items for internal use.

Searching For Product

Search Criteria Options To perform a more specific search, choose search cri­ teria options from any of the following fields: • Add MultipleExact ItemNumbers: Cut and paste a list of item numbers from a document or spreadsheet or type in multiple item numbers. Location: Choose this to narrow your search to products that are only available at a specific lo­ cation Vendor: Limit your search to products sold by a specific vendor or select multiple vendors. GL Group: You can select a specific GL group from the drop-down list to narrow your search to that specific group. Price Type: You can narrow your search to prod­ ucts that have price types of Normal, Guaran­ teed or Call for Price. Formulary: Limityoursearch toproducts that are on or off formulary or search across both. • Preferred: Include products that are preferred by selecting On or products that are not preferred by clicking Off. • TypeMessage: Limit your search to products that either have a Blocked message, Product message or no message. • Prior Purchases Only: Click the box if you only want to include products that you have pur­ chased in the past. Narrow your search to prod­ ucts that you have purchased in the last 30, 60, 90 or 120 days. Browse Use this method ifyou have an idea of what you would like to order, but want to see what is available and compare items. 1. Start by navigating to the Order screen and selecting the Browse tab. 2. On the left side of the screen, you will see a column labeled Categories that includes a number of vendors underneath. Locate the vendor that you wish to order from. A list of categories will appear under that vendor. From the list, choose the category that the item you wish to order falls in. 3. Once you have selected a vendor and catego­ ry, a list of items will appear on the right side of the screen. To view the details of an item, click on the in the left colum[:!;]Note: There may be more than one page of items in the category. Page numbers are located at the bottom of the screen. 4. When you locate an item that you would like to order, enter the quantity that you wish to order in the Quantity column. Note: You can do this for multiple items on a page at once. 5. Once you have finished entering the quanti­ ties of the items that you wish to order, scroll to the bottom of the screen and click on the I Addr,c'"I button. See Submitting Your Order on the next page to continue.

Performing a Search 1. Start your search by clicking on the °""' • tab and selecting Search from the drop­ down list. The Product Search Criteria screen appears. 2. Based on the information that you have, enter criteria in either the Item Number, Client Product Code or Key Words search boxes. Note: it is not suggested that you enter information in more than one of those fields per search as it could limit your search results. 3. If you would like your search to be more specific, choose from a variety of Search Criteria Options (see right). Note: You can choose as few or as many as you would like. Keep in mind your search results will be lim­ ited with eachfield you choose. 4. Once you have entered all of your criteria, click on the I Sea

Quick Tips To quickly find products, follow these search guidelines: • Make sure there are no spelling errors in the words or phrases you type. • Avoid entering plurals. For example, enter glove instead of gloves. • If you have too few results: - Think of synonyms or related terms to enter in the Key Words field - Choose Any Words from the drop­ down next to your Key Word(s) to searchmultiple words at once • If you have too many results: - Be more precise with your search terms and use All Words from the Quick Tips To place orders quickly and effective­ ly, follow these guidelines: • If your order requires an approval process, be certain to plan time into the process for this. • You can enter notes in your order that can be sent to the order or in­ voice approver for review. • Products that are marked Preferred or Guaranteed Pricing provide your company with the best quality and value for the cost. They may not al­ ways be the lowest price item, but there are benefitsto orderingthese products overproducts without these attributes. • If you have been given the ability to order for multiple locations, always be certain that you are selecting the correct location when placing an order. Submitting Your Order Once you have added items to your shopping cart using Order Entry, Browse, Search or Re­ curring Orders, use these steps to submit the order: 1. Start by navigating to the Order screen and selecting the Shopping Cart tab. 2. Locate your order in the Shopping Cart list and click on the name of the vendor in the Vendor column to see the contents of your cart. Note: If you haveordered items from more than one vendor, your order will be bro­ ken into a separate cart for each vendor. 3. At this point, you can make a few edits: clicking on the � in the Actions column. If you make any edits, be certain that you click on the�button to save the changes. 4. Once you are ready to send the order, click on the I s,om, I button. 5. You will be brought to the Order Confirma­ tion screen. You will be given one more op­ portunity to make edits, as listed above. Note: some vendors also allow you to select a rush order or delivery date from this screen. Click on � to submit the order. At this point, your order will either be submitted for approval or to the vendor, based on business rules. You can check the status of an order in the Transactions tab. Recurring Orders Use this method ifyou saved routine orders to quickly order products you need on a reg­ ular basis. This method is available ifyou have previously set up a Recurring Order. 1. Start by navigating to the Order screen and selecting the Recurring Orders tab. 2. Click on the name of the Recurring Order that you wish to order products from. 3. Enter the quantities of the items that you wish to order. If there is an item in the or­ der that you do not want to order, change the quantity to "0". 4. At this point, you can also make a few edits:

Update the quantities of the items Change the GL code (if permitted) Add a note for the order approve by clicking on the {; in the Actions col­ umn.

How Accounts are Provisioned We provision a property when an order is signed. Once a property (or collection of properties) has been provisioned, users with the appropriate permissions can manage users as-needed. Additionally, we make APIs (api.courtesyconnection.com) available to customers to automate user management. Any Guarantees/Contract Terms We bill annually (prepaid). That said, we will refund (on 30-day notice) prorated and prepaid licensing fees on request following a management or ownership change. At scale, we look to execute lightweight Master Service Agreements (MSAs) with owners or third party managers of property portfolios. Those MSAs do not assign any financial obligation whatsoever to any entity other than individual properties. The goal is to have a single document that governs on what basis properties and Courtesy Connection do business. Any individual property orders will reference that MSA as a governing document.
