Step 2: Use page folders to store page files and images Organization of yearbook files is one of the greatest challenges advisers and staffs face. Effective file organization can greatly reduce the time it takes to prepare pages for submission and the chance of having missing pages, images or graphics. It can also reduce frustration and stress associated with missing or lost materials. There are many ways to organize your yearbook files for storage and access on a server or shared drive. Below are methods we suggest that have been used successfully by our customers: • Create a copy of the _WPCYB folder and its contents and place on the yearbook network area. The page folders already contained in the _WPCYB folder can help you organize your storage on the network drive. For example, the D1 – D8 folders can be used to store files, graphics and images for each of your deadlines; the PIX folder can be used to store original image files; and the Proofs folder for proof files. • Along with the D1-D8 deadline folders, you can use the _WPCYB > Pages to create your page folders for your spreads. For best data protection, your network administrator can easily organize these page folders under the yearbook section of a network drive. • Users must work on pages on their local drive, and then store the pages on their network drive. If you have saved all your page files into the appropriate page folder, copying files to and from the network drive is much easier. For example, you could simply copy and paste, or drag the 040-041 page folder from the network to your local drive and work on the files. When you are ready to save and store the files again, copy the 040-041 folder and its contents back to the network and replace the files that are already there. This will also help ensure that the files on the network are the most current version available. A combination of these methods also would work effectively. Remember, when you copy a folder from the network to the hard drive, or vice versa, it will copy the folder and all of the sub folders and files in it. This helps keep all the files for each page in your book together throughout the creating process. Step 3: Create page files Create a new file in InDesign by clicking either the New Spread or Designer Series Layouts button, and save the file to your hard drive. For example: • On your workstation, build a file for pages 40-41. • Save the file using the Save As command to your 040-041 page folder inside your _WPCYB folder on the workstation’s hard drive with the name 040-041.indd.
• At this point, if you will be placing any digital images or graphics on your page files, make sure you also move the original digital image and graphics files to your hard drive before placing them on your page. • Next, place some images on the pages. NETWORK USERS 12
