USER ACCESS REQUIREMENTS FOR THE YEARBOOK STAFF Here are the basic requirements for user access on a yearbook workstation that must be in place to run InDesign, Photoshop, Acrobat or Walsworth’s Enhancements: Mac • Read and Write access to the _WPCYB folder and sub-folders at the root of the hard drive • Read and Write access to the Adobe InDesign program folder and all sub folders and files. Windows • Read, Write and Modify access to the _WPCYB folder and sub- folders at the root of the C: drive • Read, Write and Modify access to the Adobe InDesign program folder and all sub-folders and files. • Properties > Security Tab, choose User or Machine Name in the list, Allow Full Control, Click Apply Current Adobe programs were not created to operate in restricted workstation environments. If a user is too restricted on the workstation, they will receive either error messages or experience total program failure when trying to use the InDesign application and Walsworth’s Enhancements. Yearbook staff members must also have the ability to move files from the network or shared drive to their workstation and back. Creating a shortcut on the desktop to their area of the server may be the easiest
way for staff members to move these files back and forth, without accidentally putting them in the wrong area of the network drive. NETWORK USERS 6
However, this doesn’t mean that a certain level of security or restriction isn’t needed; in fact, it is encouraged. Allowing other users access to yearbook files and images can be risky, and allowing your own users access to system files shouldn’t be acceptable either. DESKTOP YEARBOOK CREATION – NETWORKS AND USERS Desktop publishing applications and networks Bottom line, desktop publishing applications are meant for single user work stations. Desktop publishing and image-editing programs such as Adobe InDesign and Photoshop create significant demands on a systems processor, RAM and hard drive. Running a large, image-intense document in InDesign can monopolize as much as 100 MB of memory, while large files opened in Photoshop can easily consume 200-300 MB themselves. As a result, any kind of weakness in your network hardware, routers, cables or configuration could result in a corrupted file or lost data. Desktop publishing is what its name implies – software created to work from a desktop. Working with files Saving InDesign files directly to a network server works successfully most of the time. It is, however, not officially supported by Adobe. Instead, if you want to minimize the chance of file corruption, we recommend pages, images and graphics be opened, worked on and saved directly to a computer’s internal hard drive. Can I share InDesign files on my network? Yes, you can share files and graphics from one central source. However, InDesign files should be opened and run from the local machine to avoid network permission and file corruption issues. Remember, desktop publishing files are typically large, with complex relationships between graphics, plug-ins, preferences and permissions. Issues such as application crashes can be caused by incorrect version minimums, system memory and insufficient file privileges. File corruptions and total file failure can occur when data transmissions across a network are interrupted. These interruptions may be attributed to: • Hardware failure such as file servers, routers, bridges, cables or network cards • Network software failures
NOT E
This information also applies to schools using a removable media device such as a thumb or flash drive, Zip disk, CDR/RW or DVD to store and create backups of their yearbook files. File corruption issues resulting from slow access times or hardware failure can easily occur when files are opened directly from, worked on and saved back to a removable media device. Installing the right kind of hardware and practicing good system management will help you avoid file corruption across a network.

Microsoft does not support a downloadable version of Internet Explorer for Mac. Some Walsworth services require the user to download a plugin before accessing the service. On Windows machines, these downloads are usually automatic and may only require the user to click a security warning box to initiate the download. Users should set their Internet Explorer Privacy settings to Medium High or below. Privacy settings above a Medium High level could prevent plug-ins from installing automatically. Mac users typically must manually download required plug-ins and then install them to their systems. Configuring the Download Manager to save to the desktop is probably the easiest way for users to download, locate and install the required plug-ins. Once installed, the user can simply delete the plug-in’s executable file from the desktop. Pop-up blockers Sometimes the services offered over the Internet by Walsworth require the ability to automatically open additional windows or install plug-ins, such as ActiveX files, on the user’s computer. This ability can be limited by the existence of pop-up blockers running on the machine. It is important that users have the ability to either temporarily disable their Internet pop-up blocker, or configure it to allow pop-ups from the Walsworth service they desire to use. Although we do not recommend permanently shutting off or removing pop-up blockers from your computers, yearbook advisers and staffs must have the ability to use them as needed. In some situations, it will be necessary for the network or systems administrator to configure the pop-up blocker because of limitations in user rights and access to their machines. New operating system and security patches are released regularly, and it is impossible for this manual to address all the latest software updates. Therefore, if you have questions about Internet browser or security settings, please contact Computer Support at 800-369-1530 or email Computer.Support@Walsworth.com. NETWORKS AND RECOMMENDED WORKFLOW Walsworth recommends the following workflow for the creation of yearbook files for schools connected to a network. This workflow is based on important information from Adobe Systems Incorporated, research by Walsworth’s Desktop Technology Department and customer feedback. Step 1: Log on Yearbook staffs must have access to certain areas of their hard drive to use Adobe applications with Walsworth’s Enhancements and software. See the Overview of requirements section in this manual for more details. One suggestion is to set up user log-ins at a group level, so all yearbook staff members have access to the same areas of the workstation and server no matter where they log in.
The network or systems administrator should set up a drive or an area on the network specifically for yearbook files. It could be named Yearbook and, based on their login, only those persons associated with the yearbook could access this part of the drive. The yearbook staff can use this volume or drive to store copies of their page files, images and graphics. NETWORK USERS 11
Step 2: Use page folders to store page files and images Organization of yearbook files is one of the greatest challenges advisers and staffs face. Effective file organization can greatly reduce the time it takes to prepare pages for submission and the chance of having missing pages, images or graphics. It can also reduce frustration and stress associated with missing or lost materials. There are many ways to organize your yearbook files for storage and access on a server or shared drive. Below are methods we suggest that have been used successfully by our customers: • Create a copy of the _WPCYB folder and its contents and place on the yearbook network area. The page folders already contained in the _WPCYB folder can help you organize your storage on the network drive. For example, the D1 – D8 folders can be used to store files, graphics and images for each of your deadlines; the PIX folder can be used to store original image files; and the Proofs folder for proof files. • Along with the D1-D8 deadline folders, you can use the _WPCYB > Pages to create your page folders for your spreads. For best data protection, your network administrator can easily organize these page folders under the yearbook section of a network drive. • Users must work on pages on their local drive, and then store the pages on their network drive. If you have saved all your page files into the appropriate page folder, copying files to and from the network drive is much easier. For example, you could simply copy and paste, or drag the 040-041 page folder from the network to your local drive and work on the files. When you are ready to save and store the files again, copy the 040-041 folder and its contents back to the network and replace the files that are already there. This will also help ensure that the files on the network are the most current version available. A combination of these methods also would work effectively. Remember, when you copy a folder from the network to the hard drive, or vice versa, it will copy the folder and all of the sub folders and files in it. This helps keep all the files for each page in your book together throughout the creating process. Step 3: Create page files Create a new file in InDesign by clicking either the New Spread or Designer Series Layouts button, and save the file to your hard drive. For example: • On your workstation, build a file for pages 40-41. • Save the file using the Save As command to your 040-041 page folder inside your _WPCYB folder on the workstation’s hard drive with the name 040-041.indd.
• At this point, if you will be placing any digital images or graphics on your page files, make sure you also move the original digital image and graphics files to your hard drive before placing them on your page. • Next, place some images on the pages. NETWORK USERS 12
Never copy and paste to put graphics or images on your pages. Use the File > Place command. When you File > Place graphics or images, remember to copy their link to the same location that the file is stored. Step 4: Copy page files, PIX folders and graphics to your network or shared drive After you have created your page files and placed images or graphics, copy your page folder, which includes your page file, images folder and any other graphic links, to your storage area on the network or shared drive. To illustrate this procedure: • When you are done for the day, copy the entire page folder 040-041 to your network drive. This folder should contain your 040-041. indd file and the images and graphics folder, and links to any other graphics you placed. • All files associated with pages 40 and 41 of your yearbook are now stored inside one folder on the yearbook area of your network or shared drive. Step 5: Before working on existing page files, move page folders to the hard drive As stated before, the best way to avoid file corruption and other issues is to not open your files directly from or save them directly to your network drive. Before working on an existing page file stored on the network, move the page folder and its contents from the yearbook network storage area to your workstation hard drive. Click on the folder/files and move them by either dragging or copying and pasting them to your hard drive. Continuing with our example from above, you are ready to resume working on the existing file 040-041.indd that is stored on the network: • Copy the 040-041 folder and all of its contents from the network drive to your hard drive. If you have followed the steps above, the contents of this folder should include your page file and an images and graphics folder. • Open the 040-041.indd page file and continue working. Step 6: Work on your page files Open the page file from the page folder you copied to your hard drive (desktop or local drive). M ake your changes to the page file. If you File > Place images or graphics on your page, make sure you move those original graphics files into your page folder. Step 7: Save changes to your page file using Save As Save your page file by selecting File > Save As. You may need to navigate to the proper page file folder on your hard drive. If you are saving an existing file, the current file name will display in the File name area.
Click Save, then select Yes to replace your existing file. The File > Save As method greatly reduces the chance of file corruption. NETWORK USERS 13
Step 8: Copy your page folder and files to the network drive Move the page folder and its contents back to the network or shared drive. The page folder should include the actual page file, PIX folder and any other linked image or graphic files. To continue with our example: When you are ready to Save As and store the files again, copy the 040-041 folder and its contents back to their original location on the yearbook area of the network. You should be asked to replace the files that are already there; click Yes. This will also help ensure that the files on the network are the most current version available. Step 9: Delete duplicate file folders and their contents If you use the network or shared drive to store your original page files, digital images and graphics files, you may want to remove the folders you worked on from the desktop so duplicate page folders and files do not exist. If you are only using a network drive as a place to store backups of your page and image/graphic files, you may not want to delete the original files from your hard drive. FILE CORRUPTION Causes of file corruption File corruption can be caused by a number of sources, including low disk space, insufficient memory, bad graphics or fonts, graphic links, or simple elements drawn on the pages such as rectangles and ovals. A corrupted file is usually a document that when opened, results in an error message such as “Bad Record Index.” Most corrupted files won’t open at all and are often not recoverable. In some cases, the corrupted file will close your application or crash your computer. Excessive use of text frames or boxes have been linked to the file corruption issues. Running an index scan directly on files located on a server can also lead to a corrupted index database. There is often little warning before a file corrupts and, because the error could exist anywhere in the file, finding the cause can be difficult.
Preventing file corruption The best way to avoid file corruption when connected to a network is to always open and save publications directly from your computer’s hard drive (local drive). In other words, do not directly open a publication stored on a network drive or even a removable media device such as CD-R/RW or DVD. Move the publication and all linked graphics files to your hard drive and then work on the files. This workflow is recommended because when you open a file across the network or from a removable media device, slow access times between the hard disk and removable media or network disks can cause data to become incomplete, lost or corrupt. This could result in damage to the publication and is the cause of most corrupted InDesign or Photoshop files. Once you have completed your work on a file, move it and all linked graphic files back to the network or removable media device for storage only. Also, remember to frequently make backups of your files in case the original becomes corrupted. NETWORK USERS 14
Avoiding file corruption • Make sure you are running the most current version of your program available. For example, if you have InDesign CC2022, the most current update is 17.3. Update installers can be found on the Adobe website. • Use the File > Save As command instead of File > Save to regularly save your document. The Save As command takes more time because it rewrites the file, creating a new copy each time. Choosing just the Save command is like adding blocks to a tower. At some point it may get unsteady and “fall over.” Choosing Save As rebuilds the tower each time so it is more sturdy and stable. You will find your file size will be much smaller as well. • Never copy and paste data into InDesign publications. Instead, use the File > Place command to place images and graphics. You should also use the File > Place command to place text files. • Place digital images or graphics from the hard drive. Do not place these items from a network or shared drive, and especially not from a removable media device such as a CD-R/RW. Although the file may place, the action of placing the graphic from another device may cause the file to corrupt. • When using Photoshop or InDesign, have as few other applications and/ or extensions open and running as possible. This is especially true on Mac systems. While Mac users typically experience far fewer instances of file corruption, other issues including program crashes and file corruption can occur if your system resources are stressed by having multiple programs and processes running at the same time. • If you want to use a file repeatedly such as a template, then save the file as a template. This will open a copy of the template as a new untitled document each time, minimizing the risk of corrupting the original file through repeated use and revisions. To save a file as a template, use the File > Save As command, and in the Save As type: drop-down menu (Windows) or radio button (Mac), select Template. • Keep enough free space on your hard drive. Based on information from Adobe, we suggest keeping around 300 MB free on your hard drive when running Photoshop or InDesign. File corruption consistently results if a program runs out of disk space when trying to Save or Save As a file. • Don’t embed graphics or images into your InDesign publications; link them instead. For the most part, when you place graphics or images on your InDesign pages, the programs will automatically link and not embed the graphics or images. You can check if your graphics or images are embedded by doing the following: • Click Window > Links to open the Links palette. If any of your files are embedded, you will see a small picture of a triangle with a square below it just after the name of the file. • To unembed the file, click the arrow in the upper right corner of your Links palette to open a drop-down menu. From the menu, select Unembed File. • Never create a blank text block in your file. Either type something into a text block you have drawn or delete it from the page. Blank text blocks associate style and font information with them, even if they are empty.
• Immediately rebuild your publication using Save As and/or make a backup copy the moment you suspect a file corruption issue. Signs of impending file failure may include items not redrawing correctly on a page, menus showing wrong information or garbled names, and errant messages received when you try to place or copy and paste elements. NETWORK USERS 15
• Save files to a local/hard drive before copying them to a network server or removable media device. This was stated earlier, but it is worth repeating. As robust as many networks are, you still run a risk of file corruption by saving directly to, or opening files from, a network server. Never save directly to a removable disk or even a rewritable CD drive. • Don’t launch an application by double-clicking on a document. Although rare, it is possible to corrupt a document in this manner. Instead, launch your application first, then open your document by using the File > Open command. One last reminder... backups, backups, backups! Po ssible solutions for recovering corrupted files Recovering a corrupted file can be at best difficult, and at worst impossible. However, there are several tricks for recovering all or at least parts of corrupted files so you may not have to recreate the page from scratch. Try the following tips only if you are able to open the document: • Print the document. A “bad record index” or similar error may be caused by one or more items in the document. If you can print all or at least part of the document, look for any elements that are missing and delete them from your file. Deleting these items may correct the file, or at least give you enough time to use Save As to save the file under a different name or copy and paste your text blocks to another layout. Remember, copying and pasting elements from one page to another is not normally recommended. This should be used as one of your last resorts. • Unlink all graphic and image files. Using the Windows > Links palette in InDesign, begin unlinking all files one at a time. Perform a Save As to create a new version of your document each time you unlink a graphic. If this still doesn’t solve the issue, try moving your page file and all links into a new folder on your hard drive. Open your file and re-link all graphic (including any linked text) and image files. • Delete any unused or empty text frames or text boxes on the page. One way to look for empty text frames or boxes in InDesign is to examine pages in Normal View Mode. Unable to open or print the document • If the file was created on a Windows machine, try opening the file in the same program on a Mac. Many people have had success repairing damaged files using this trick. You will need to add the proper extension for the application you are working on for the Mac to recognize the file. Once you open the file, do a Save As under a different name, and then open your new document back on your Windows machine. Your fonts may give you a warning or recompose slightly during this process, but this is probably only a mild inconvenience compared to recreating the entire file. • Try to recover your text using the Place command. Open a new document, then File > Place the corrupted file into your new
document. This won’t place any graphics or pictures, but if successful it will place all your text from the previous file. You can then reformat your text and begin rebuilding the other elements on the page. NETWORK USERS 16
A few other things you can try: • Close down all other applications running on your system. • Close down and restart your program. • Reboot your system. NETWORKING FAQS Does InDesign need to be installed on each computer in our classroom? Yes, each computer that will be used to create yearbook pages needs to have InDesign installed on that computer. Do I need to install Walsworth’s Enhancements on every computer in the yearbook room? Yes, every computer that will be using InDesign to create your yearbook files should have the Enhancements installed on their hard drive. However, not all of our planning or marketing items need to be installed on each computer. Refer to the installation instructions in the Planning section of The Process Manual for more information. Can I install Walsworth Enhancements on a thin client network? No. The Walsworth Enhancements plug-in is designed to install on a local workstation and work in conjunction with a local installation of InDesign. The installation path is C:\Program Files\Adobe\Adobe InDesign CC_\Plug-Ins\WPC_ID. What about saving my page files on the desktop of my computer? Page files, digital images and graphics should initially be saved on your hard drive then moved to the network for storage. Typically, if you are connected to a school network you will use the network server to store your page, image and graphic files. Also, this allows other yearbook staff members access to the page files when needed. After moving your files to the network, you may want to delete them off your computer desktop to minimize the chances of duplicate or older versions of your files being used. How do I back up my page files from a network? You can save a copy of your page files to a computer hard drive or a removable media device such as a CD-R/RW or DVD. Why can’t I open and work on my page files from the network or from removable media devices? It is not recommended. Slow access times between the hard disk and network disks or removable media can cause data to become incomplete, lost or corrupt, resulting in damage to the publication. How much space should I provide on a network or shared drive for storing yearbook pages and files?
The answer to this really depends on how many pages the yearbook is, what program it is being created in, and if you will be using digital images or graphics on your pages. Consider allowing at least 10 MB to as much as 50 MB per page of the yearbook for storage. In other words, a 144-page yearbook should be given at least 7 GB to 10 GB of storage or more if large digital image files are being used. NETWORK USERS 18
What areas of the hard drive do yearbook staffs need access to on their workstations? All members of the yearbook staff who will be creating pages need Read and Write access on Macs, and Read, Write and Modify access on Windows to their _WPCYB folder, the WPC folder and their InDesign program folders. See the Overview of requirements section of this manual for complete details. How would Internet access benefit my yearbook staff in getting technical support? In addition to providing direct contact by email or telephone for technical support, Walsworth also offers all customers the option of using an online interactive desktop support service. This service allows customers to engage in a live help session with Computer Support specialists. During a session, customers can text chat with one of our specialists, and even allow us to remotely observe or control their desktop to troubleshoot an issue or demonstrate a process. To use, customers simply need the ability to view dynamic content on the web and the ability to allow pop-up support windows from the browser.
